Quick guide to entering a new Taxonomy record
For users that just need to quickly add a new scientific name to EMu, use the Taxonomy Quick Entry Guide.

Open the Taxonomy module

The Taxonomy module opens in Query Mode. You can either search for an existing name or create a new record.

:

To begin entering a new record, click New (Ctrl + N)

Classification Tab
Start by entering a genus name and clicking F12 or the look up list button. The classification tab is controlled by a look up list that will auto-populate a higher classficiation. The family should automatically appear. The family that appears follows the hebarium filing system.

Enter the new species. If an infraspecific taxon, enter the rank in the Other Rank field and the infrapecies in the Other Value field.

:

Authors Tab
The Name and Parenthetic Authors fields searches the the Taxonomic field in the Parties module.

To make finding matches easier, use the starts with character \^ if you know exactly what you are looking for.

*Entering just A. C. Sm. will give you results for A. C. Sm. and C. A. Sm. If you enter \^A. C. Sm., you will only get A. C. Sm.
*To enter Linnaeus, use \^L.\$ to find only that record, or open the Parties module separately and search using the last name field.

For ex authors, enter "ex Author" in the Role field before the name it should follow:

:
For more complicated ex author strings, you need to enter "ex Author" on multiple rows, depending on the formatting needed. Example:

:
:
Choose ‘Barcode and filed as name’

:
Type in the number of records* to be created in the ‘Number of records to create’ field. Leave the ‘Starting IRN’ field blank and click Next. *See Tips and Tricks 1. on how to do this quickly.

:
The ‘Enter IRN Taxonomy Record’ field should be prepopulated with the taxonomy name IRN from the occurrence you highlighted in the first step in this guide. If so, click Next. If not, exit from the template and start from step one again.

:

The ‘Filed as Name?’ field, is asking if the occurrences that you are about to create are all filed under the same taxonomic name of the occurrence that was highlighted in the first step of this guide. If so, fill in the field with ‘Yes’. If not, ‘No’.

:

Fill in the ‘Enter next barcode number’ field. For the purposes of this example, the first barcode is 02332801 (seen in the cataloguing module) so the field should be filled with 02332802. Click Next. *See Tips and Tricks 2.

:

This window summarizes all the values placed within the fields in the template. Double check everything is correct. If so, click Next and x number of records will be created with this information.

:
Tips and Tricks:
1. Number of Records to create: Counting the correct number of records you have barcoded before creating the occurrences in KE EMu can be a lot to process while barcoding specimens. To make the process easier, open an excel spreadsheet and create a simple subtraction formula as shown below:

:
Scan the first barcode of the specimen into its respective field. For consistency purposes we will use the same specimen number ‘02332801’ as earlier in this guide. Important: note that the ‘first barcode’ number is of the first specimen occurrence that has already been saved into EMu!

:

Scan the ‘last barcode’ number directly from the last specimen that has been physically barcoded. This will give you the exact number to input in the ‘Number of records to create’ field. In this example, it would be the number 87.

:
2.Enter next barcode number: to minimize human error, copy the first barcode number from the excel spreadsheet , paste it to the ‘Enter next barcode number field’ in EMu, and add one to the number. One is being added to the number since the first barcode has already been created in EMu as stated within Tips and Tricks 1. and the template guide.

To make finding matches easier, use the starts with character ^ if you know exactly what you are looking for.

*Entering just A. C. Sm. will give you results for A. C. Sm. and C. A. Sm. If you enter ^A. C. Sm., you will only get A. C. Sm.

If you need to enter Linnaeus (L.), it is still easiest to open the Parties module and search for "Linnaeus" in the last name field.

For ex authors, enter "ex Author" in the Role field before the name it should follow:

For more complicated ex author strings, you need to enter "ex Author" on multiple rows, depending on the formatting needed. Example:

:

Common Names: Lists common names for the taxon, as well as informal names

Descriptions: Lists any descriptions about the taxon. Before entering descriptions here, please refer to the Mongraphs module first.

The Taxonomy module of KE EMu holds information about taxa. Taxa can be recorded at any level, from as broad as Kingdom to as narrow as sub-specific levels such as Form and Variety. It records information about the authors of the name, the protologue, basionyms, synonyms, common names, and images.

:

This is all that is needed to enter a new name. Click save.

Complete guide to the Taxonomy Module
The taxonomy module can also store information about type specimens, synonymy, vernacular names, descriptions and images of taxa.

The tabs for the Taxonomy module include:

Classification: where to enter family, genus, species, hybrid and cultivar information

Citation: where to enter type citations and type specimens

Primary Citation: where to enter basionym information

Authors: where to enter taxonomic name authors

All Synonyms: (only visible when Currently Accepted? Field is set to Yes) Lists any synonyms associated with the taxon record

Higher Class.: Lists classification elements in hierarchy above family

Boolean Operators
Boolean operators can be used when searching within a field:

AND
If two terms are entered on the same line in a field, the Boolean operator and applies, e.g. collector [and] author

:
Records that contain all words specified in a search, anywhere in the field, are found. Words do not have to be adjacent within the field to match this search.

OR
If two terms are entered on different lines in a field, the Boolean operator or applies, e.g. collector [or] author

:

Records that contain one term or both are found.

NOT
If a backsland and exclamation mark (\!) is entered before the search term, the Boolean operator not applies, e.g. [not] \!collector

All records not containing the term in the field are found.

Text Retrieval
How to find a phrase
A phrase is one or more words adjacent to each other. To find records using a phrase search, type the search terms within quotation marks in the search field, e.g. "Species of Eastern Brazil".

Note: Noise words (like, a, the, or, and) are generally ignored.

How to use stemming
Stemming allows you to find records that contain variations of the word entered (i.e. its plural, adjective, verb version, etc.)

To run a stem search, type a ~ (tilde) directly before the search term, e.g..~river will find records containing both river and rivers.

How to use phonetic retrival
Phonetic retrieval allows you to find records that contain terms that sound like the search term. This is useful when the exact spelling of the term or name is unknown.

To perform a phonetic retrieval type the @ symbol before the search term, e.g. @smith will find records containing smythe, smithe and smith.

Pattern Matching
Any term that contains one or more of the wildcard characters
( ^ $ * ? ) is considered a pattern.

The pattern matching rules are:

*^ The matching term must be at the start of the field
*$ The matching term must be at the end of the field
*This matches any number of characters at that position in the term
*? This matches any single character at that position in the term

Any other letters must appear at the appropriate position in the matching term.

To find records that match a pattern, type the search term in the field, using the wildcard characters in the correct position in the word, e.g. the query r?n matches run and ran, but not ruin, r*n matches run, ran and ruin.

Range Queries
You can search for a range in a numeric, date or time field.

To find records within a range, type a relational operator before the search term in the search field, e.g. >=30, <26/01/1988.

You can specify more than one range in a query, thus closed ranges can be supported, e.g. >=30 <=50.

See How to Search for a Date Range

Proximity Searching
On text fields, you can search for words within close proximity of each other. Proximity searches take the form of:

(term1 term2 ...) modifier operator number unit

To perform a proximity search:

*Type two search terms in a field, e.g. river bank
*Enclose the two terms within brackets, e.g. (river bank)
*If required, type a modifier, e.g. after, near. The modifier is either after, meaning ordered search, or near, meaning unordered (this is the default).
*Type a relational operator (i.e. <, <=, >, >=, =, <>) and a number or range to indicate the proximity or proximity range of each term to the other, e.g. (river bank) <= 5
*Type the unit of proximity by which to search, e.g. word, sentence or paragraph, e.g. (river bank) <= 5 words will find records where the search terms river and bank are equal to or less than five words apart.
*Surround the search phrase with single quotes, e.g. (river bank) <= 5 words

The unit of proximity can be abbreviated to the first letter of the word, e.g. w for word, s for sentence, p for paragraph.

Searching via Attachment Fields
Using Summary Data for the Attachment Module
A source module is any module to which other modules attach. Attachment modules are those modules which attach to source modules. For example when adding a determination (Taxonomy module) attachment to a specimen record (Catalogue module), Catalogue is the source module and Taxonomy is the attchment module.

Remember that when you are in query mode in any module, you can search an attachment field (any field with a ) without opening the module if the terms you are searching are found within the Summary Data. Summary Data is a one line summary of the most useful fields of the record.

Example

To find all records collected by Smith from Brazil:

:
This returns all collectors that match Smith in the Parties module, which is hundreds of different Smiths.

To search for records collected by Lyman B. Smith only, add more specific search criteria that also appears in Summary Data for the Parties module, like full name.

:

Using Attachments in Query Mode
To search for information from a field that is not found in the Summary Data or to guarantee only a specific attachment is used, the attached module must be opened.

What are default values?
A default value is a value that automatically displays in a field when a new record or new query is created. The default value is the value that is most commonly used in a field, saving time and effort in data entry. If required, it can be overwritten at any time during data-entry.

More than one default can be created and defaults can be easily turned on and off. At the beginning of each session of data-entry in EMu select the default you wish to use (Edit>Default Values> Change). Otherwise, the last default used will automatically be used.

How to Load Existing Default Values for Data Entry
Open the module in which the default values will apply.

To define the values to display in Insert (data entry) mode, click New (Ctrl + N) to change to Insert mode. To define the values to display in Query mode, remain in Query mode.

Select Edit->Default Values->Change

The Defaults Properties box opens. Chose the existing default value for your purpose and click OK.

:*These will remain your default values everytime you log in. To remove the default values, follow these steps again and choose a different set of defaults or choose "No Defaults" to remove.

How to Share Exisiting Default Values
Default values you create are only availalbe to you unless you share them with other users. To share default values:

Open the module in which the default values will apply.

The Defaults Properties box opens. Select the existing default value you want to share and click on Properties.

:

*Select the Secutity Tab (1)
*Choose the User you want to add from the Names list (2)
*Click "Add" to add the user under the Access list (3)
*Click OK (4)

:

The user will now have access to the default values. Only the creator of the default values will be able to edit them.

How to Create New Default Values for Data Entry
*Open the module in which the default values will apply.
*To define the values to display in Insert mode, click New (Ctrl + N) to change to Insert mode. To define the values to display in Query mode, remain in Query mode.
*Type the default values into the fields in which they will display.
*Select Edit->Default Values->Set As Defaults
*The Defaults Properties box displays.

*Type a name for the defaults in the top text field, e.g. Catalogue Defaults.
*Use the Security Tab only if you want others to be able to use the same default values
*Click OK
*Select Edit->Default Values->Change
*The Defaults box displays
Make sure the name for the default values you wish to use is selected and Click OK

The defaults that you have defined will now display when you are in the same mode in which the defaults were created, until you choose different default values.

To switch another set of default values that have already been created or to the base defaults, go back to Edit->Default Values->Change.

How to Create Default Values in Query Mode
If you regularly run the same search, you can also create default values in Query mode.

For example, you need to search for the countries of the Greater Antilles, but don't want to re-enter the countries every time.

:

Go to Edit->Default Values->Change. Choose New to create a new default query.

:

Add a name to the default values, e.g. Greater Antilles.

Find the field(s) you which to add to the query and click Add. (For help, see How to Choose Fields for List View and Reports.)

:
